Best Petrol Pump Management Software in India: 2026 Buyer's Guide
Petrol pump software is not one thing. Some products are billing programs, some are accounting packages with a fuel module, and some run the whole forecourt. This guide lists the ten things that matter most to Indian pump owners, the question to ask each vendor, and how FuelSetu handles each one, so you can compare products fairly.
The 10 criteria
- Nozzle and meter readings
- Shifts and DSM (operator) accountability
- Tank dip, density and stock variance
- Credit customers (fleets, transporters, companies)
- GST invoices and tax registers
- Tally (and other accounting) integration
- Multi-outlet management
- Languages your staff actually read
- Offline working and where your data lives
- Pricing transparency
Nozzle and meter readings
What to look for. Sales at a petrol pump are counted from the meters, not from bills. Good software records opening and closing readings for every nozzle, keeps decimals (a meter reads to 0.001 L or better), handles a meter reset, and subtracts testing fuel that went back into the tank. If the software only asks for a day total, you cannot trace a shortage to a nozzle.
Each nozzle has its own opening and closing reading (3 decimals). Testing fuel is recorded separately and excluded from sales. Sales per nozzle roll up into the shift, the day and the reports.
Shifts and DSM (operator) accountability
What to look for. Most cash shortages are found at shift change. Look for per-operator nozzle allotment, a cash/UPI/card/credit split for each operator, shortage or excess per person, and a handover that the supervisor signs. Ask how the software handles two operators on one nozzle in a day, and what happens if a shift is closed by mistake.
Supervisors assign operators to nozzles per shift. Each operator's collection is split by cash, UPI, card and credit, and the shift shows shortage or excess per operator before sign-off. Handover is digital, and a shift can be reopened only by someone with permission.
Tank dip, density and stock variance
What to look for. Stock is where fuel quietly goes missing. The software should convert dip readings to litres from your tank's calibration chart, record each delivery (invoice quantity, density, received quantity), and compare book stock with physical stock per tank every day. Variance should be visible per tank, not only as a monthly total.
Dip readings are converted with calibration charts; deliveries record quantity and density; each tank shows book vs physical stock and the variance. Low-stock alerts go to the owner and supervisor.
Credit customers (fleets, transporters, companies)
What to look for. Credit is usually the largest receivable at a pump and the biggest source of disputes. Look for credit limits, a ledger per customer, statements the customer can see, ageing (0-30, 31-60, 60+ days), and a way to confirm each credit fill at the pump (slip, QR or OTP) so the bill is not argued later.
Each credit customer has a limit, a ledger and a QR code. The operator scans the QR at the pump; the customer sees balances, vehicles and statements in their own portal. Ageing buckets and trade discounts (%, flat or per litre) are built in.
GST invoices and tax registers
What to look for. Petrol and diesel are outside GST, but lubricants, services and many credit-customer bills are not, and your accountant needs clean registers. The software should produce GST tax invoices with HSN codes, keep invoice numbering continuous, and export registers your CA can file from.
Credit customers get monthly GST tax invoices with HSN codes; tax registers export to PDF and Excel; numbering is continuous per series.
Tally (and other accounting) integration
What to look for. Most Indian pumps keep books in Tally. "Tally export" can mean anything from a CSV your accountant re-types, to an XML file to import, to live posting of vouchers. Ask which one, which vouchers are covered (sales, receipts, purchases, expenses, journals), and how duplicates are prevented when the export is run twice.
The FuelSetu Tally Connector is a small Windows app paired once; it posts Sales, Receipt, Payment, Journal and Purchase vouchers into Tally Prime or ERP 9 automatically and does not create duplicates. Tally XML export is also available, and Zoho Books sync is included.
Multi-outlet management
What to look for. If you run more than one pump, check whether each outlet is a separate installation (separate logins, separate data) or one organisation with an outlet switcher and a combined view. Also check whether staff, tanks and prices stay correctly separated per outlet.
Several outlets sit under one organisation with one owner login, an outlet switcher and a combined "All Outlets" dashboard. Tanks, nozzles, staff and prices are kept per outlet. Pricing is per outlet.
Languages your staff actually read
What to look for. Pump attendants and supervisors often do not work comfortably in English. A translated app reduces wrong entries. Check that the whole operator screen is translated, not just the menu, and that each user can pick their own language.
The app is available in 7 languages: English, Hindi, Marathi, Tamil, Telugu, Kannada and Malayalam. Each user picks their own.
Offline working and where your data lives
What to look for. Many pumps are on highways with patchy internet. Desktop-only software works offline but keeps data on one PC (backups and remote viewing are your problem). Cloud software can be viewed from anywhere but must keep working when the connection drops. Ask what exactly works offline, and how data syncs when the connection returns.
FuelSetu is cloud software with Android, iOS, Windows, macOS and web apps. Core shift operations (sales and nozzle readings) work offline and sync when the connection returns. Data is backed up daily.
Pricing transparency
What to look for. Many vendors publish no price at all. Before a demo, ask for: the yearly price per outlet, what modules or users cost extra, installation and training fees, annual maintenance (AMC), and what happens to your data if you stop paying. A published price makes comparisons easier.
FuelSetu publishes its price: ₹18,000 per year per outlet, with access to all features, unlimited dispensers, nozzles and staff. 2-year and 3-year plans save 20% and 30%. There is a 7-day free trial without a credit card.
Questions to ask every vendor in the demo
- Show me one shift closed end to end: nozzle readings, operator cash, UPI, card and credit, then the shortage.
- Show me tank variance for one tank for the last 30 days.
- Show me a credit customer's statement and ageing, and how a credit fill is confirmed at the pump.
- Show me the vouchers this created in Tally. What happens if I export twice?
- Switch the app to my staff's language. Which screens are still in English?
- Turn off the internet and record a sale. What happens when it comes back?
- What is the total yearly cost per outlet, including installation, training, AMC and extra users?
- If I leave, how do I export my data, and in what format?

Frequently asked questions
What is the best petrol pump management software in India?
There is no single best choice for every pump. Choose software that records every nozzle reading per shift, reconciles tank dip with book stock, manages credit customers with limits and statements, produces GST invoices, posts to Tally (or your accounting software), handles multiple outlets, works in your staff's language and works offline. FuelSetu covers all of these for ₹18,000 per year per outlet; compare it with other options using the checklist on this page.
How much does petrol pump software cost in India?
Prices vary widely and many vendors do not publish them. Desktop software is often sold as a one-time licence plus annual maintenance; cloud software is usually a yearly subscription. FuelSetu costs ₹18,000 per year per outlet with all features included, or less per year on 2-year and 3-year plans.
Which petrol pump software works with Tally?
Several products offer some kind of Tally export. Ask whether it is a file you import manually or a connector that posts vouchers automatically. FuelSetu offers both: a Tally Connector for Tally Prime and ERP 9 that posts vouchers automatically, and Tally XML export.
Can petrol pump software work without internet?
Desktop software runs offline by design. Cloud software needs to cache work and sync later. FuelSetu's core shift operations, such as recording sales and nozzle readings, work offline and sync when the internet returns.
Is there petrol pump software in Hindi or other Indian languages?
Yes. FuelSetu is available in 7 languages: English, Hindi, Marathi, Tamil, Telugu, Kannada and Malayalam, and each user can choose their own language.
Can one software manage multiple petrol pumps?
Yes, if it supports multiple outlets in one organisation. FuelSetu lets an owner manage several outlets with one login, an outlet switcher and a combined dashboard, priced per outlet.
